Registration Information

The HRI 2026 conference will be taking place from Monday, 16 March until Thursday, 19 March 2026 at the Edinburgh International Conference Centre, in Edinburgh, UK.

Main conference entitlements include:

  • Access to all sessions, Tuesday 17 – Thursday 19 March 2026.
  • Access to the Exhibition.
  • Morning and Afternoon Coffee Breaks.
  • Delegate materials.
  • One ticket to the Welcome Reception on Monday, 16 March 2026.
  • One ticket to the Conference Award Dinner on Wednesday, 18 March 2026.

Note 1: Main conference registration does not include the workshop day.

Note 2: The Ceilidh social event on Thursday is not included in the registration. More information can be found in the section Social Functions.

How to register

Registration for the HRI 2026 conference is now open. Please read the registration information carefully before beginning the online registration. Registration can be submitted by completing the online form.

Early bird fees: In order to receive the early bird registration fee, registrants must register and pay in full by Saturday, 31 January 2026. If payment is not received by this date, then registrations will be automatically transferred to the Standard Registration fee.

Author registration deadline: At least one author per accepted submission must register for the main conference by February 15, 2026. Also, one full registration can cover up to two publications, irrespective of the paper category.

Cancellation deadline: Sunday, 1 February 2026.

Member registration: To be eligible for the Member Registration rates, registrants must be a financial member of one of the IEEE & ACM.

Student registration: A student is defined as a holder of a full-time student identification card from a recognised tertiary or secondary education institution (e.g. a University or vocational education institution).

Students must be currently enrolled in full-time studies or have recently finished their degree after September 1, 2025, to qualify for the discounted rate. Students will be asked to provide proof of student status during the registration process.

Frequently Asked Questions

I’m an author of an accepted submission. Do I need to be registered before the early-bird registration deadline?

At least one author must register for the main conference for the Full Paper, Alt-HRI, Pioneers,  Late Breaking Report, Short Paper, Student Design Challenge, Tutorial,  or Video/Demo papers to be included in the proceedings and program. Early-bird registration by January 31, 2026, is highly encouraged, but the final author registration deadline is February 15, 2026. One registration covers up to two papers; additional papers require a co-author’s registration. If you cannot register by the deadline, contact the registration chairs.

None of the authors of my paper can attend the conference. Do I need to still register?

Yes. At least one author of an accepted paper needs to be registered for your paper to be included in the proceedings and the program. Every accepted paper needs to be presented at the conference. If none of the paper authors can attend the conference, please contact the Program Chairs (pc2026@humanrobotinteraction.org) immediately to discuss presentation options.

I have multiple publications. Do I pay a registration fee for each publication?

One full registration can cover up to two publications, irrespective of the paper category. If you have more than two papers accepted (e.g., one full paper and two LBR papers), make sure one of your co-authors is registered.

I am one of the organisers of a workshop. Do I also have to register for the workshop day?

Yes. All attendees of a workshop, including the organisers and keynote speakers, need to register for the workshop.

If I only register for the workshop, can I also attend the main conference?

No. While workshop-only registrations are available, this does not include admission to the main conference or conference reception.

I am currently not an IEEE/ACM member. Can I become a member before HRI registration?

I am an IEEE RAS member, am I eligible for a registration discount?

We are currently working on this, we will provide more information soon.

I need an invitation letter to apply for a Visa. How can I receive one?

You can request ACM for your Visa support letter on: https://supportletters.acm.org/

  • If you are a “presenting author”, you can simply use your paper title.
  • If you are not a “presenting author”, you will have to complete registration first and provide the “Registration Confirmation Number” to complete the support letter request.

Do I need a Visa application for the UK?

What is the registration cancellation policy?

Cancellations must be notified in writing (e-mail is sufficient) to the registration chairs (registration2026@humanrobotinteraction.org). Cancellations made by February 1st, 2026, will result in a full refund minus a fee of GBP£ 110 to cover administration costs. As an alternative to cancellation, your registration may be transferred to another person by February 15th, 2026, without incurring any cost penalty. If you want to transfer your registration, please reach out to the registration chairs.

Conference Award Dinner

A true conference highlight! Be welcomed by a highland piper, then enjoy a glass of fizz, before stepping into the grand hall of the Scottish National Museum for dinner, towards the end of the evening, be on the edge of your seat as the winners of the HRI awards are announced.

Ceilidh

A fantastic opportunity to take part in traditional Scottish Dancing. There will be a caller who will take everyone through the steps of each dance before everyone sets off on awesome reels with a live band. The ticket to the ceilidh is not part of the main registration conference and should be purchased in addition. Space is limited to 190 participants; be sure not to miss it!
