The HRI 2025 conference will be taking place Monday 3 March till Thursday 6 March 2025 at the Melbourne Convention and Exhibition Centre in Melbourne, Australia.

How to register
Registration for HRI 2025 conference is now open. Please read the registration information carefully before beginning the on-line registration. Registration can be submitted by completing the on-line form.

Early bird fees: In order to receive the early bird registration fee, registrants must register and pay in full by Friday 31 January 2025. If payment is not received by this date, then registrations will be automatically transferred to the Standard Registration fee.
Cancellation deadline: Saturday 1 February 2025.
Member registration: To be eligible for the Member Registration rates, registrants must be a financial member of one or the IEEE & ACM.
Student registration: A student is defined as a holder of a student identification card from a recognised tertiary or secondary educational institution (e.g. a university or vocational education).
Students must be currently enrolled in part or full-time studies, or have recently finished their degree on or after September 1, 2024, to qualify for the discounted rate. Students will be asked to provide proof of student status during the registration process.
Frequently Asked Questions
I’m an author of an accepted paper. Do I need to be registered before the early registration deadline?
At least one author must register for the full conference for the paper to be included in the proceedings and program. If you only have LBR, SDC, or Video papers, please refer to the next FAQ. Early registration by Jan 31, 2025, is highly encouraged, but the final deadline is Feb 15, 2025. One registration covers up to two papers; additional papers require a co-author’s registration. If you cannot register by the deadline, contact the registration chairs.
I only have Late Breaking Report (LBR), Student Design Competition (SDC), or Video paper(s). Do I need a full registration?
While we strongly encourage full conference attendance (HRI is a pretty cool event!), authors of LBR, SDC, or Video papers have the option to register using a day pass to promote inclusivity. One day-pass registration covers up to two LBR, SDC, or Video papers. If you have more than two papers in this category, additional papers require a co-author’s registration. Please register by February 15, 2025, or contact the registration chairs if you need more time.
None of the authors of my paper can attend the conference. Do I need to still register?
Yes. At least one author of an accepted paper needs to be registered for your paper to be included in the proceedings and the program. Every accepted paper needs to be presented at the conference. If none of the paper authors can attend the conference, please contact the Program Chairs (pc2025@humanrobotinteraction.org) immediately to discuss presentation options.
I have multiple publications. Do I pay a registration fee for each publication?
One full registration can cover up to two publications, irrespective of the paper category. One day-pass registration can cover up to two publications in the LBR, SDC, and Videos categories. If you have more than two papers accepted (e.g., one full paper and two LBR papers), make sure one of your co-authors is registered.
I am one of the organizers of a workshop. Do I also have to register for the workshop day?
Yes. All attendees of a workshop including the organizers and keynote speakers need to register for the workshop.
If I only register for the workshop, can I also attend the main conference?
No. While workshop-only registrations are available, this does not include admission to the main conference or conference reception.
I am an IEEE RAS member, am I eligible for a registration discount?
Yes, you may apply for the discount. IEEE RAS is offering a limited number of registration reimbursements to 40 paper authors and 5 workshop organizers. In order to apply for the 214 USD reimbursement, please first complete your registration, then submit this form to apply by Feb 15, 2025. Priority will be given to applicants who have early registered, have not received other registration or travel awards (except student or membership discounts), and demonstrate a need for support.
I need an invitation letter to apply for a Visa. How can I receive one?
The invitation letter will be processed in a few days after the completion of registration and will be emailed to you. Please make sure you check your email spam filtering. If you do not receive the letter after few days or need it urgently, please contact the Conference Secretariat Isabella Rakers (isabellar@icmsaust.com.au) and CC registration chairs (registration2025@humanrobotinteraction.org). If you need the letter to apply for the Visa before you register, please also contact us.
How do I prepare a Visa application for Australia?
Prepare a well-documented application with strong supporting evidence. The Australian Department of Home Affairs is strict, so include:
- Proof of intent to return (e.g., return ticket, student enrollment, letter of employment).
- Financial proof showing you can support your stay (e.g., employer support letter, bank statement).
- Conference documentation (e.g., email confirming your paper’s acceptance, possibly the paper itself).
Apply as early as possible to allow time for processing. For official visa requirements and guidelines, visit the Australian Department of Home Affairs website.
What is the registration cancellation policy?
Cancellations must be notified in writing (e-mail is sufficient) to the Conference Secretariat Isabella Rakers (Isabellar@icmsaust.com.au) and CC registration chairs (registration2025@humanrobotinteraction.org). Cancellations made by Feb 1st, 2025, will result in a full refund less $150 AUD to cover administration costs. As an alternative to cancellation, your registration may be transferred to another person by Feb 15th, 2025, without incurring any cost penalty. The Conference Secretariat must be advised in writing of any alterations or transfers of registrations.

Accomodation
The HRI 2025 Conference Secretariat has secured a range of accommodation options from single to premier rooms to shared apartments all in the vicinity of the conference venue, the Melbourne Convention and Exhibition Centre (MCEC).
Delegates can easily make an accommodation reservation via the online registration form. All rooms and rates below are held until Monday 2 June 2025 or until sold out. Rooms are available on a first-come first-served basis. Please ensure to book your accommodation early to avoid disappointment. If accommodation payments are not received by Friday 31 January 2025, your room will be released back to the hotel, and you will be liable for full payment. The HRI 2025 Conference Secretariat does not take responsibility for accommodation if deposits are not received by this date.
